The asked me to build a new membership database for them. They needed a database that would hold details of all their members and contacts as well as holding membership information. This would include information on renewal dates, payments, bank account details and many other details. </p> <p>The key features of the database were:</p> <ul><li>To have a unified contacts and membership database (originally they had a database for each of these)</li> <li>To be able to filter contacts or members based on different critera such as the contact type or region</li> <li>To be able to perform various membership functions such as finding those who were due for renewal, printing standard letters, etc</li> <li>To be able to do group emails and mail merges for filtered lists of contacts and members</li> <li>To run various reports</li> <li>To import data from their original databases into the new Microsoft Access database</li> </ul><p>I did the database design using Microsoft Access. I designed it to make it as straightforward as possible to use with a neat and logical layout. When it was finished the database met all their requirements and I worked through any issues that arose once I had installed it. Because the database was going to be accessed from different office locations and by many staff it was decided to design the database using Microsoft SQL Server with a Microsoft Access front end.</p> <p>This was a large scale project and involved regular meetings and updates to check the progress of the project.</p> <p>The main purpose of the database was to hold detailed information on all of LDC's contacts. The key features include:</p> <ul><li>Detailed contact information with quick lookup ability</li> <li>Ability to set interests for contacts, add contacts to distribution lists and related contacts to each other</li> <li>Ability to enter details for events and show attendees for an event</li> <li>Ability to send group emails and mail merges for filtered contact lists</li> <li>An extensive reporting facility </li> <li>Ability to record a communication history for contacts</li> <li>The transfer of all the existing data in the old Microsoft Access database to the new SQL Server database</li> </ul><p>The end result was a well designed database that met all their requirements. The database was designed to hold contact details for residents in the neighborhood. It also holds details of other types of contacts such as contractors and consultants.</p> <p>Since its creation, I have worked as the database maintainer creating additional functionality when needed and providing technical support and training. I created separate versions of the database for different areas of Paddington including Westbourne Park, Church Street and Queens Park.</p> <p>The key features of the database are:</p> <ul><li>Holding detail information on residents</li> <li>Ability to filter or group residents according to area, type or category</li> <li>Ability to create mail merges or send group emails to filtered groups of contacts</li> </ul><p>They recently asked me to merge their databases back into one central database. The database needed to hold information on all people taking specialised courses as well as details of course instructors. From the database they could find out lists of all people who had taken a specific course, details of all the courses and when they were run as well as who the instructor was.</p> <p>The key features they needed for their course database were:</p> <ul><li>The ability to show details for the person type, allocate individuals to networks, regions, and events</li> <li>Ability to filter individuals based on course, event, region and various other criteria</li> <li>Ability to send emails or perform a mail merge based on a filtered group of contacts</li> <li>See details of all individuals who had attended a particular course</li> </ul><p>I designed the database using Microsoft Access. It met all their needs and was simple to use. They were using Outlook to manage all their contacts and were needing a more comprehensive system to manage and track their contacts. As well as needing a list of contacts they wanted to filter contacts into different groups, execute mail merges with Word and email to groups of contacts, track donations from contacts and have the ability to run different reports on their contacts.</p> <p>We agreed a specification for the database design with a price to meet their budget. I created a bespoke Microsoft Access database that allowed them to:</p> <ul><li>Manage all their contacts</li> <li>Categorize all their contacts into different groupings</li> <li>Perform Word and email mail merges with selected groups of contacts</li> <li>Track donations from contacts</li> <li>Export financial data to an Excel spreadsheet</li> <li>Run various reports on their contacts</li> </ul><p>When the database was finished I installed it at their offices and provided a training session.
